Round robin or pool: routing leads across a brokerage team

23 September 2026 · 3 min read

Two ways to hand out leads, what each gets wrong, and the hybrid most off-plan teams end up running.

Every agency with more than three agents ends up arguing about who gets the leads. The two common answers are round robin and a shared pool, and both break in predictable ways.

Round robin

Leads go to agents in turn. It is fair and fast, and nobody has to decide anything. It breaks when an agent is on leave, in a viewing all afternoon, or simply does not follow up, because the lead still lands on them and waits.

Pool

Leads sit in a shared list and agents claim them. The hungriest agents respond fastest, which is good, but they also grab everything and sit on half of it. Quiet agents get nothing and stop trying.

The hybrid that works
